Gemini can now preview and edit documents directly in a chat, so you can change a draft before downloading it or moving it into another app. Google's October 29 update covers PDFs, spreadsheets, presentations and other files, but the device you use determines how much of that work you can finish.

The main split is straightforward: PDF previewing and editing work on the web and mobile. Other file types currently need the web app. Google describes the feature as available wherever Gemini is offered, across its supported languages. Digital Trends' report also identifies the change as editing inside the conversation, following Gemini's earlier file-generation capability.

What you can edit on a phone

For a PDF, you can work within the conversation, expand the document to full screen, make manual changes or highlight a passage to ask Gemini to revise it. Those controls let you refine part of a document without asking for an entirely new response.

For Google Docs, Sheets, slide decks, Markdown, text and code files, use the web app rather than expecting the same editor in the mobile app. Google's product announcement makes that platform distinction explicit. It does not promise that every existing PDF layout, form or other specialized element will survive an edit unchanged.

Ask for the format you actually need in your prompt. Google's file-generation help lists Google Docs and Sheets, PDF, Word DOCX, Excel XLSX, CSV, LaTeX, TXT, RTF and Markdown. Most supported formats can be downloaded to your device or exported to Drive.

The Workspace release notice describes different routes for different jobs:

  • Presentations can be previewed and edited in chat, opened in Google Slides, or downloaded as PowerPoint PPTX or PDF.
  • Spreadsheets can be previewed in Gemini and opened in Google Sheets for continued work.
  • Documents, including PDF, Docs, LaTeX, Markdown and text, can be edited manually or with prompts, then uploaded to Drive.

A PDF download suits a document you intend to distribute as a finished page. A Slides or Sheets destination lets you continue in the corresponding editor. These are destination choices, not evidence that Gemini will preserve every spreadsheet formula or presentation element. Google has not documented those guarantees in this release.

Bringing notes and existing files into the chat

You can start with a prompt or upload source material. For uploads, sign in first. Google's upload guide currently allows up to 10 supported files in one prompt, subject to availability. Non-video files can be up to 100 MB each. Those are input limits; they do not establish how many finished files Gemini will generate.

There is a second constraint beyond file size: how much content the model can consider together. Google warns that large files can produce answers that miss details or connections. A file fitting under 100 MB therefore does not mean every page will receive equal attention.

Upload and analysis allowances also reset on rolling limits. A message saying you have reached the limit for chats with files calls for waiting until access resets or using a plan with higher allowances. A storage error is different: Gemini's stored activity has its own capacity, separate from Google Drive storage. Buying more Drive storage does not address that distinction.

Choose the account before uploading private material

A personal account and an employer's Workspace account can have different data protections. For personal accounts, Google's Privacy Hub says chats and uploads saved with Keep Activity on can be used to improve its services, including AI models, with human review.

Temporary chats are not used to train Google's AI models. With Keep Activity off, future chats are also excluded from model improvement unless you submit feedback. Both temporary chats and chats with activity off are retained with your account for 72 hours, including for service operation and protection. Turning activity off is not immediate deletion.

For work and school, the Workspace license determines protection. Google says chats and uploaded files under enterprise-grade protections are not reviewed by humans or used to improve generative AI models. Some Workspace users instead receive Gemini as an additional service under different terms. A work email address alone does not establish enterprise protection.

Administrators control organizational access and activity retention. Importing files from Drive also requires the relevant connected-app access to be enabled. The file-editing announcement adds no separate administrator switch, but it does not override an organization's existing Gemini controls. Confirm the account and its protection level before adding a confidential document.
